Notion helped us centralize project management, documentation, and knowledge base into a single place. Now we have a strong way of doing things and documenting the knowledge across teams.
Pros
Customizable databases and different views make it pretty easy to manage resources and documents. The new "projects" feature was something I had been looking forward to for months, and finally, we have it.
Cons
Some team members find it a bit difficult to start with. Getting the whole team to adapt using Notion took a while.
Reasons for Choosing Notion
Notion already had project management features. We moved all the projects from Asana to Notion and ended our Asana subscription.Switched From

Notion is a robust tool that's transformed how I handle my ideas and projects. The level of customization is unlike any other, and having an AI assistant at my fingertips is like a dream. Despite the initial learning hurdle and the consideration of cost for the full suite of features, I find Notion to be a like a swiss army knife and an indispensable asset in my work life.
Pros
- Flexibility: Customizing pages in Notion is a breeze, allowing me to organize everything just the way I like using different content blocks. I can just write plain text, attach images and files, and set up interlinked databases that I can view in multiple formats such as table, list, calendar, gallery, etc.
- Notion AI Assistant: A real time-saver that helps keep my productivity levels high since I can draft up proposals, project updates, and emails that would otherwise take me much longer writing from scratch.
- Template Gallery: Offers a good starting point for various projects and use cases.
- Seamless Integrations: Connects with other tools I use, simplifying my workflow.
Cons
- Steep Learning Curve: Initially, it can be daunting, and you really have to make sure that you don't fall into the trap of overly complicating your set up. You may end up trying to utilize too many of Notion's features that it becomes overwhelming to use.
- Cost Considerations: The free version is great for small personal use, but if you're using this for your business, you'll probably want to choose the paid plans, which is where the cost starts adding up with the per member pricing. The AI Assistant is an additional cost as well.

Like many others: I am a migrant-from-evernote-to-notion user.
So I really feel a difference. Evernote become with time a boring routine. You ended up konwing all what the software capacities without a horizon you can looking for. Evernote blog is a good resource but it is not enough for me.
The comparison with Evernote is critical for me. So I can tell you that Notion provide you all what Evernote offer plus a not-so-boring journey during using the product.
Pros
Without doubt its ubiquity (they claim you can organise anything within it) is incredible.
Cons
User experience is not that good. It is not comfort for the eyes.
Too many options.
Too many features.
Need time to learn and use and you ended up reexplain that too many time to your team OR you must buy Khe course about that product. And it's something you should really consider into your calculation of what that software cost.

Pros
Notion product development is top notch. New highly usable features keep getting rolled out.
Cons
Although there’s a Notero work-around, I’d still like a Zotero seamless integration, please. Also, although embedded PDFs are very satisfactory, it will be amazing if users can annotate PDFs within Notion.

A Game-Changer in Digital Experience - My Notion Experience
Reviewed on 13/10/2023
Pros
I couldn't resist sharing my thoughts on Notion, and let me tell you, it's been nothing short of a game-changer for me. From the moment I dived into Notion, I was greeted by this sleek and intuitive interface that felt like a breath of fresh air. The flexibility it offers is simply mind-blowing - my notes, tasks, and projects finally found their perfect digital home. One thing I absolutely love is how Notion adapts to my unique way of organizing things. It's like having a personal assistant that understands my quirks and preferences. Whether it's creating a comprehensive to-do list or drafting out my latest brainstorm, Notion effortlessly molds itself to my writing style. And the collaboration features? Pure genius. Working on group projects has never been smoother. Real-time updates and the ability to seamlessly share ideas - it's a collaborative dream come true. But here's the kicker: databases. They've turned data organization into an art form. I can't tell you how satisfying it is to watch my information neatly structured and easily accessible. What's even cooler is the variety. Need a sleek to-do list? There's a template for that. Planning a trip? There's a template for that too. Notion has undeniably become my go-to digital workspace. It's not just an app; it's become an integral part of my daily routine.
Cons
Now, don't get me wrong; Notion is this expansive canvas where I can pour out my thoughts and organize my chaos beautifully. But, and there's always a but, when it comes to formatting, I find myself yearning for a bit more freedom.

A friend recommende I use Notion and now I'm glad to recommend it to anyone who will listen. At any given time, I have almost a dozen projects in various stages of the project life cycle. Notion lets me create a task list, make assignments and reminds me to check up with ease on managing the project. I can also collect notes for follow up with the members of the team, and set task assignments to myself to keep on track. All in all easy to use and highly valuable for saving time.
Pros
We were sitting at a table comparing notes on how we track projects, and manage tasks. He noticed I wasn't using an app on my phone to do it, and suggested Notion. I'm glad he did. It was easy to deploy and use, the set up was intuitive and makes tracking at a glance easy.
Cons
I havn't found a downfall yet. It loads fast, connects fast and does the duties as asked.

1) Create nested pages, tables, etc - you can go as deep as you want
2) It has a VERY good and easy to use mobile app
3) It has replaced my google drive (not sheets - yet), Evernote, todoist, local notes, anything random that used to go anywhere else
4) I was even able to create a lot of linked database that works well
5) I started just for personal but enjoyed dumping all my brain thoughts here, it made it very good to capture more thoughts around business too; then moved the company docs and wikis; then right now moving the tasks for the team
and Dark mode, lol - and good pricing with unlimited storage
Cons
1) Increasing the speed of opening pages on mobile and desktop apps
2) i would love to see an offline version too
3) Sometimes the sync is slow - if i have made the change in mobile; it wont reflect instantly in the desktop app. It takes a minute or two, or sometimes reloading the page

We had a very positive and joyful experience with Notion. I think when we started using Notion, it came out a little earlier than our small family company. We feel that we have grown with them, and I think that is a very amazing feeling. It's like they have followed very nearly their community and tried to listen as mush as possible and give them all the tools they need to grow. It means a lot. We know that financial gain is important but being capable of that but still being very present to the community is much harder, and they have succeeded that! Now, students, anyone has accessibility to use a powerful tool like this one. It's so cool ! I still use Notion for myself and my personal life. It makes everything easy-peasy !
Pros
I still like this kind of architect approach from Notion. They are the pioneers of this approach, and for that they have a very special place in our note-taking approach. I think it's because we feel understood as Business entrepreneurs that we need a white canvas to start, but with tools that will help us to build an organized library of knowledge and interactive libraries of knowledge and information. You can start very simple, but you can also make it more robust and complex and also, decide to reduce the complexity and go back to a simple structure.
Cons
I started to use Notion in 2018, and I saw the changes they made. I think in 2020, I tried to use other software, but I was still observing it from far. Furthermore, I was still using it for inventory, articles gathering, but that's it because I felt overwhelmed by the tools and feature they were adding.I think we got lost a little by the intensity of the features, but now, they went back to simplicity, and we can see it in the way they have presented their new recent features.

If I had a Notion in college, it's safe to say, I would've gotten better grades. Since discovering this product, I have been 100x more productive because I can customize my workspace to my exact needs in a friendly, aesthetically pleasing platform. In order to make Notion work for you, you need a creative and problem-solving mind, and a few days to learn it. That's where I have the most fun creating the templates and workflows, and my team members make me feel like a productivity wizard.Working with databases is seamless, integrations work great, and my notes look and feel amazing. I use Notion for my tracking and planning my daily life, as well as my small business. After setting up the templates and workflows, my team members rave about how easy and centralized the projects are. They even started to learn how to create templates and workflows of their own since being introduced to it.Despite the lack of advanced styling, I love having a digital workspace that caters to our exact needs.
Pros
Notion is super easy to use, the interface is beautiful, and the possibilities are endless. I enjoy making templates that actually help me be more productive and get things done. There is also a native marketplace full of free and paid templates that I love getting inspiration from and experimenting with. Notion also has one of the most helpful and motivating communities where templates and productivity ideas are shared. I enjoy using this to organize my projects as a digital business. The pricing plans are reasonable, and they also offer credits when you complete certain tasks. It is best paired with Google Chrome Extensions. There are many extensions that make the Notion experience even better like customizing the theme colors, adding buttons, etc.
Cons
My nit-picky con isn't all that important when it comes to productivity, but visually notion lacks native advanced customization. The downside of using Chrome Extensions to customize the look and feel of my notion pages is that it doesn't apply across browsers and on the desktop and mobile app. There's too much space around the margins, which can be valuable real estate for the page content. I also wish the page properties didn't take up half the page with the right side of it empty. I also wish that text could be aligned right and centered.Another downside I have is having to use Notion in Google Chrome most of the time to take advantage of the style customization extensions.

Overall it's a great app, I just wish it would be faster and also easier to navigate.
Pros
Notion is an extremely flexible software. Thanks to their databases and multiple views like calendar, Kanban, tables and lists. I found it to be extremely intuitive and fun to use. I can definitely see how it could replace a google docs and be a central place for your team.
Cons
So the big elephant in the room... Notion can be slow at times, especially when using it on my phone. I would spend a lot of effort just trying to switch between pages. When I would type in it I felt that my text was not in real time. Also on Mobile sometimes I couldn't highlight text due to a bug on their side. This goes against the productivity it is trying to create.
Also the way it works with folders, it very quickly becomes far too many different places and I would need to think about where I need to put the specific note I'm working on, vs actually just writing the note. I think that it would be far better if notion stopped relying so much on folders and rather just made their search and internal linking more streamlined.

Awesome experience. Now my digital biz has real structure, organization and is customized to how I wanted my operations to be set up.
Pros
Freedom! Learning to use Notion has released me from the captivity of multiple software services and many-stepped business operations. I didn’t own a cell phone until I was 29 (that’s how old I am) so using apps and software services doesn’t come naturally - I had to sit and learn, watch YT vids, read alllll the help docs. But now I can pretty much build or integrate anything my company needs. I’m practically a software developer now. Plus, it’s inexpensive and can integrate w basically everything, if u don’t have time to make it yourself in Notion. They also have a great community and their company “vibe” is upbeat, motivational and encouraging - even for this “old” startup lady.
Cons
I have to teach each new employee how to use it and show new clients too - I’ve made video tutorials to help, but it’s always a time investment (which is worth it, eventually).

The program known as Notion has a very high degree of adaptability. Because of their databases, which allow for a variety of displays, including calendar, Kanban, table, and list formats. It was quite easy to understand and enjoyable to use, in my opinion. It is entirely comprehensible to me how this might take the place of something like Google Docs and serve as a hub for your team. The very thought of it is astounding. My life is going to be lot simpler from now on. If only I had this concept while I was in school, I would be an encyclopedia right now.

I use Notion as a company wiki to share documentation, instructions, policies and procedures with everyone on my 52-person globally distributed team. It's where new team members go to find and work through their orientation checklists. It's where admins go to work through their onboarding checklists when a new person joins the team. And it's where every team member goes every day to read the extensive instruction manuals they use to do their jobs. It's very easy to create and share beautiful and clear content with Notion.
Pros
I love how easy to use it is for content creators and readers alike. You can integrate all kinds of things: images, videos, html, databases, simple tables, etc. There are also lots of different types of heading (three sizes, with or without drop-down toggles to collapse them), which means the documents in our company wiki are very easy to navigate. I love using synced blocks when a rule or procedure is mentioned in more than one place—if you update one block, all of the others sync too so your documentation won't accidentally go out of date.
Cons
I had to try really hard to think of one, honestly! I guess I wish there was an easy-to-find user management page. The only way I know how to manage permissions is to use the small window that pops up when you click "Share" in the upper right hand corner of any Notion page. It takes fair amount of scrolling or a fair number of clicks to find someone on my 50+ person team and change or remove their permissions when I need to.

It's absolutely brilliant. I love the product, and love taking inspiration from other people who are using the product. There a many open source templates that you can use and organize your life on top of them.
Pros
I first started using Notion at my workplace, where we had all our documentation in the notion workspace. It was really easy and inspiring to go thru the documents across company functions. Notion is the best thought organizer there is. Its easy to use and has excellent compatibility with other tools as well.
I plan my holidays, website content, design system, documentation, etc all in notion.
Special shout out to its Tables Construct which is by far the most amazing scalable piece of the software. Its got kanban view and gallery. All of which accommodate my keeps to a large extend.
Cons
The mobile app isn't optimized enough yet. It's a bit slow even on newer phones.

Notion is an all-in-one tool that can be used to organize and manage any type of information, from notes and to-do lists to projects and databases. The ability to customize the tool to my needs is a huge plus, as is the ability to collaborate in real time with other users.
Pros
What I like most about Notion is its ability to adapt to my needs and the way I work. The user interface is very intuitive and customizable, allowing me to organize my information the way I prefer. Another thing I like about Notion is its ability to be used as a database. This is especially useful for me, since I can create databases for projects, tasks, contacts, and whatever else I need. The ability to search, filter, and sort information efficiently and effectively is a huge plus for me, as I can quickly find what I need.
Cons
I would say the learning curve can be a bit steep at first. There are many functions and features in Notion, and it can take a while to figure out how to use them all effectively. Also, while the free version of Notion offers many useful features, there are some limitations in terms of storage and number of users that may be a problem for some individuals and businesses.

Notion is a powerful tool for project management, offering a range of features that can improve team collaboration, task management, and productivity. Its customizable interface, flexible task management, collaboration tools, rich media integration, and mobile app make it a popular choice for many teams. However, its steep learning curve, limited export options, limited integrations, pricing model, and customization challenges are potential weaknesses to consider when deciding whether Notion is the right tool for your project management needs.
Pros
1. customizable Interface: Notion's interface is highly customizable, allowing users to create a workspace that suits their needs. This means that users can create project management templates that fit their workflows, which can save time and increase productivity.2. Flexible Task Management: Notion allows users to create tasks, set deadlines, and assign them to team members. The software offers various views, including list, board, calendar, and kanban, allowing users to choose the view that works best for them.3. Collaboration Tools: Notion's collaboration tools, including comments and mentions, make it easy for team members to communicate and work together on projects. This feature can improve team collaboration and reduce communication barriers.4. Rich Media Integration: Notion allows users to add a range of rich media, including images, videos, and files, making it easy to keep project-related information in one place. This feature can save time and reduce the need for multiple tools.5. Mobile App: Notion's mobile app allows users to access their projects on the go, making it easy to stay on top of tasks and collaborate with team members from anywhere.
Cons
1. Learning Curve: Notion has a steep learning curve, especially for new users. This can be a challenge for some teams and may require additional training or support.2. Limited Export Options: While Notion offers a range of import options, it has limited export options. This means that users may find it difficult to move their data out of Notion if they decide to switch to a different tool.3. Limited Integrations: Notion has limited integrations with other software tools, which may limit its usefulness for some teams. However, it does offer integrations with popular tools like Google Drive, Slack, and Trello.4. Pricing: Notion's pricing model can be expensive for larger teams, especially if they require access to premium features like guest access and version history.5. Customization Challenges: While Notion's customizable interface is a strength, it can also be a weakness. Customization can lead to cluttered workspaces, which can be challenging to navigate for some users.
